The Sales Support Specialist is responsible for providing administrative and clerical support to the sales team and customers during the sales process. They assist customers in resolving sales-related issues in a timely manner, generally providing real-time support.

Duties/Responsibilities:

  • Email/Fax failures (confirmations, invoice, ship notes) Contact the customer to make sure failed email addresses/fax numbers are updated in the system.
  • Online order registration & Web Submissions will need to be vetted and set up in Sales Force as a lead if not already in the system. Notification to the newly assigned sales rep via teams of a new account set up if applicable.
  • You will be responsible for being available in the New/Existing account Set up/changes call queue at all times. This queue is set up to take calls from new customers or existing customers to set up or update account information. You may also need to enter the first orders during set up process as needed.
  • CSR & Sales Sample Request (Keying; Also packaging if sending from office)
  • · Pulling Surface Material to fill customer request for custom color.
  • Update accounts for sales reps. (company contact forms, buying group updates) - scan into designated server folder once completed and return to sales rep on file
  • Sales Department Voicemail Check
  • Assist sales reps with Vmail direct extension Vmail & direct emails when out of the office (please get Vmail passwords from all reps. Make sure to check their voicemails while they are absent and update them on anything that you handle for them. Reps will forward emails to you upon absence. If absence is for an extended amount of time (more than 1 week), please reach out to IT/Operations Support so the email can temporarily be forwarded to you.
  • First order & reactivated reports (verify calls are scheduled for the rep and make sure samples have been sent every Friday)
  • Review, assist, answer or forward to appropriate department/person emails sent to above email address.

Additional Tasks Not Done Daily:

  • Scanning, Copying, Filing as needed.
  • Set up all tradeshows for the sales reps attending. Make sure all registration, booth supplies and set up deadlines are met. Reps will in most cases arrange their own flights and rooms unless they request that Sales support handle those as well. Make sure the show binder contains all information for flights, rooms, showtimes, etc. All binders need to be checked and check list completed a minimum of 30 days prior to show date.
  • Packing for upcoming shows, scheduling freight outbound & inbound, ordering for show. (Use show check list)
  • Handle all sample request from shows. Sales reps will normally bring back this information on business cards, spreadsheets, or notebook paper.
  • Syntec sample request (see assigned Sales Rep for direction on how to handle these)
  • Special sample chain req from various customer, work with Sample Department to advise what and how they'd like the chains. (Ex: Novalis, Jaeckle)
  • Goodfellow boards (once a year) review board, review color against master file, pull surface material.
  • Take customer calls when assigned sales rep is not available. Make sure to email sales rep and the department manager to address any customer concerns brought up during that call.
  • Assist Priority Admin with order entry when needed. (Back up)
  • Weekly overview of completed task sent to Sales Support Lead
